  1. INTRODUCTION

Welcome to “EXPERIENCE TOURS AND EVENTS SERVICES W.L.L” (“Company”, “we”, “us”, or “our”). These Terms and Conditions (“Terms”) govern your access to and use of our website at https://experience.qa/ (“Website”), as well as any content, functionality, and services offered on or through the Website to individual consumers.

By accessing or using our Website, you acknowledge and agree to these Terms. If you have any concerns or do not agree, please review them carefully before proceeding. 

“EXPERIENCE TOURS AND EVENTS SERVICES W.L.L” is a licensed tourism company registered in the State of Qatar with registration number 186736 and registered office at Office No. 210, 2nd Floor, Ace Business Centre, Building No. 8, Al Rawabi St, Doha, Qatar.

  1. DEFINITIONS

In these Terms, the following definitions apply:

  • “Booking” means the reservation of any Service.
  • “Booking Confirmation” means our acceptance of your Booking.
  • “Consumer” means an individual acting for purposes which are wholly or mainly outside that individual’s trade, business, craft or profession.
  • “Contract” means the contract between you and us for the supply of Services following a Booking Confirmation.
  • “Force Majeure Event” means an event beyond our reasonable control.
  • “Services” means the tourism services offered by us through the Website.
  • “Service Provider” means any third-party providing all or part of the Services.
  • “You” or “your” means the person accessing or using the Website or making a Booking.
  1. ELIGIBILITY AND ACCOUNT REGISTRATION

3.1 Eligibility

You must be at least 18 years of age and capable of forming a legally binding contract to use our Website and Services. If you are under 18, you may only use our Website with the involvement and consent of a parent or guardian.

3.2 Account Registration

To access certain features of the Website or to make a Booking, you may need to register for an account. When you register, you agree to:

  • Provide accurate, current, and complete information
  • Maintain and promptly update your account information
  • Keep your password secure and confidential
  • Accept responsibility for all activities that occur under your account
  • Notify us immediately of any unauthorized use of your account

We reserve the right to disable any user account at any time if, in our opinion, you have failed to comply with these Terms.

  1. BOOKINGS AND PAYMENT

4.1 Making a Booking

  • All Bookings are subject to availability and acceptance by us.
  • By making a Booking, you offer to purchase the Services subject to these Terms.
  • We will confirm our acceptance of your Booking by sending you a Booking Confirmation. The Contract between us will only be formed when we send you the Booking Confirmation.
  • If we cannot accept your Booking, we will inform you of this and will not charge you for the Services.

4.2 Payment

  • All prices for services are quoted in Qatari Riyals (QR). As of the date of booking, Qatar does not impose Value-Added Tax (VAT); however, in the event that VAT or any similar government-imposed tax or charges are introduced and become applicable to the services provided, such charges shall be added to the final invoice and will be the sole responsibility of the client. Experience Tours and Events Services W.L.L shall not be liable for the payment of any current or future tax obligations imposed by regulatory authorities.
  • Full payment is required at the time of Booking unless otherwise specified.
  • We accept payment by credit card, debit card, american express and bank transfers.
  • Your credit/debit card details will be encrypted to minimize the possibility of unauthorized access or disclosure. Authorization for payment is received at the time of Booking.

4.3 Booking Modifications

  • Modifications to Bookings are subject to availability and may incur additional charges.
  • Any modification request must be made in writing to [email protected]
  • We reserve the right to refuse modification requests.
  1. CANCELLATION AND REFUND POLICY

5.1 Your Right to Cancel

You may cancel a Booking subject to the following conditions:

  • Cancellations made more than 4 days before the scheduled service date: Full refund minus an administrative fee of 10%.
  • Cancellations made 4 days before the scheduled service date: 80% refund.
  • Cancellations made 3 days before the scheduled service date: 50% refund.
  • Cancellations made less than 2 days before the scheduled service date: No refund.

5.2 Procedure for Cancellation

To cancel a Booking, you must inform us of your decision by a clear statement sent to [email protected].

5.3 Refunds

All bookings are strictly non-transferable and are subject to the specific cancellation policy communicated at the time of confirmation. Where applicable, refunds will be limited to the amount actually received by Experience Tours and Events Services W.L.L from the relevant service provider, and no additional compensation or reimbursement shall be provided. Refunds will be issued using the original method of payment, unless an alternative method is deemed appropriate by the company and expressly agreed upon in writing. Upon receiving a valid cancellation request, eligible refunds will be processed within 30 days of confirmation. Experience Tours and Events Services W.L.L shall not be held responsible for delays or discrepancies arising from third-party providers or payment processors.

5.4 Our Right to Cancel

We reserve the right to cancel a Booking at any time before the start date of the Services if:

  • We are unable to provide the Services due to a Force Majeure Event.
  • You fail to pay any amount due under these Terms.
  • You breach any of these Terms in a material way.

In the unlikely event that Experience Tours and Events Services W.L.L cancels your booking for reasons not resulting from your breach of these Terms or due to a Force Majeure event, we will, at our sole discretion, either reschedule the service or issue a refund corresponding to the recoverable amount received from third-party service providers. Please note that certain services, such as tickets or any kind of reservations classified as non-refundable by the provider, may be excluded from any refund. This resolution constitutes the full extent of our responsibility, and no further claims or compensation shall be considered.

  1. NO-SHOW POLICY

6.1 Definition of No-Show

A “no-show” occurs when you fail to arrive for a scheduled Service without prior cancellation.

6.2 No-Show Consequences

 

In the event of a no-show:

  • No refund will be provided.
  • Any remaining components of a package or multi-day Service may be canceled at our discretion without refund.
  • Future Bookings may require full prepayment with stricter cancellation terms.

6.3 Exceptions

Exceptions to the no-show policy may be made in cases of:

  • Documented medical emergencies
  • Documented travel disruptions beyond your control
  • Other exceptional circumstances at our discretion

To be eligible for consideration, official supporting documentation must be submitted within seven (7) days of the scheduled service date. Any adjustment offered, if applicable, will be determined based on the nature of the service booked and the non-recoverable costs incurred by the company. Please note that Experience Tours and Events Services W.L.L is under no obligation to provide a refund or reschedule in such cases, and any accommodation extended shall not constitute a waiver of these Terms.

 

  1. TRAVEL INSURANCE

We strongly recommend that you obtain comprehensive travel insurance to cover cancellation, medical expenses, personal belongings, and other risks associated with travel. We are not responsible for any losses that would have been covered by appropriate travel insurance.

  1. PASSPORT, VISA, AND HEALTH REQUIREMENTS

8.1 Your Responsibility

It is your responsibility to ensure that you and all members of your group have:

  • Valid passports (with at least 6 months validity beyond your return date)
  • Necessary visas for Qatar and any transit countries
  • Travel and health insurance
  • Required vaccinations and health documents
  • Carry all valid and official travel documents, including identification and permits where applicable, when participating in any excursions or booked services. Failure to present the necessary documentation may result in denial of service without any liability on the part of Experience Tours and Events Services W.L.L.

8.2 Our Information

While we may provide general information about passport, visa, and health requirements, it is your responsibility to confirm these requirements with the relevant embassies, consulates, and health authorities.

8.3 Consequences of Non-Compliance

It is the sole responsibility of the client to ensure compliance with all applicable travel requirements, including but not limited to passport validity, visa approvals, health regulations, and any other entry or exit conditions for Qatar or any other destination related to the booking.

Experience Tours and Events Services W.L.L is not liable for any denial of entry, missed services, delays, or additional expenses that may result from non-compliance with these or any of the aforementioned requirements. While we may offer general guidance upon request, it remains the client’s responsibility to verify and fulfil all necessary travel obligations with the appropriate authorities. Any resulting consequences or associated costs shall remain entirely the responsibility of the client.

 

  1. SERVICE STANDARDS AND LIMITATIONS

9.1 Service Descriptions

We make every effort to ensure that the descriptions of Services on our Website are accurate. However, slight variations may occur. Images are for illustrative purposes only.

9.2 Service Providers

Many of our Services are provided by independent Service Providers. While we select these providers with reasonable care, we are not responsible for their acts or omissions.

9.3 Service Changes

We reserve the right to make changes to any Service before or after Booking Confirmation if necessary to comply with applicable law or if the change is minor.

9.4 Service Cancellations

If we need to make a significant change or cancel a Service, we will inform you as soon as possible and offer:

  • An alternative Service of equivalent or superior quality, if available
  • An alternative Service of lower quality with a price difference refund, if available
  • A full reimbursement of all amounts received.
  1. OUR LIABILITY

10.1 Our Responsibility

We are responsible for foreseeable loss and damage caused by us. If we fail to comply with these Terms, we are responsible for loss or damage you suffer that is a foreseeable result of our breach or our negligence, but we are not responsible for any loss or damage that is not foreseeable.

10.2 Limitations of Liability

We do not exclude or limit our liability to the extent prohibited by law. However, to the fullest extent permitted by applicable law, we shall not be liable for any indirect, incidental, special, or consequential damages, loss of profits, data, business, or goodwill arising out of or in connection with the Services, even if we have been advised of the possibility of such damages. Our total liability in respect of any claim shall be limited to the amount paid by you for the Services in question.We shall not be held liable for the actions or omissions of third-party service providers, including but not limited to drivers, venues, or external vendors. Furthermore, the Company shall not be responsible for non-performance due to force majeure events, including natural disasters, government restrictions, or any other circumstance beyond our reasonable control. Additionally, Clients are solely responsible for ensuring that all personal information, identification documents, and booking details submitted are accurate and complete. The Company shall not be liable for delays, disruptions, or issues arising from inaccurate, incomplete, or missing information provided by the client.

10.3 Business Losses

We only supply our Services for domestic and private use. If you use our Services for any commercial, business, or resale purpose, we will have no liability to you for any loss of profit, loss of business, business interruption, or loss of business opportunity.

10.4 Force Majeure

We will not be liable for any failure or delay in performing our obligations where such failure or delay results from a Force Majeure Event including but not limited to Natural disasters, governmental restrictions, pandemics, transportation strikes, or any event beyond reasonable control. In such events, the company reserves the right to reschedule, modify, or cancel services without liability.

 

  1. YOUR CONDUCT

11.1 Website Use

When using our Website, you must:

  • Not use the Website in any way that breaches any applicable law or regulation.
  • Not use the Website for sending unsolicited advertising or promotional material.
  • Not transmit any material that is defamatory, offensive, or otherwise objectionable.
  • Not attempt to gain unauthorized access to our Website, the server on which our Website is stored, or any server, computer, or database connected to our Website.
  • Not attack our Website via a denial-of-service attack or a distributed denial-of-service attack.
  • Not use, reproduce, distribute, or repurpose any photographs, videos, graphics, or other media content available on this Website for any personal, commercial, or professional purpose without the prior written consent of Experience Tours and Events Services W.L.L. Any unauthorized use or infringement of intellectual property rights may result in legal action in accordance with the applicable laws of the State of Qatar, including but not limited to the provisions of Law No. 7 of 2002 on the Protection of Copyright and Related Rights. Any such matter shall fall under the exclusive jurisdiction of the competent courts of the State of Qatar.

 

11.2 During Service Delivery

When using our Services, you must:

  • Comply with all applicable laws and regulations of Qatar and any other countries visited.
  • Respect local customs, traditions, and practices.
  • Treat Service Providers and other individuals with courtesy and respect.
  • Not engage in any illegal, dangerous, offensive, or disruptive behavior.
  • Clients are solely responsible for the safety of their personal belongings throughout the service period.
  • Dispose of waste responsibly and use designated bins or disposal areas where provided. Clients are expected to maintain cleanliness during the service and avoid littering in public or protected areas, in accordance with local environmental regulations and community standards.

11.3 Consequences of Breach

If you breach this section, your right to use our Website and Services will cease immediately. We may take further action, including legal proceedings and disclosure of information to law enforcement authorities.

  1. INTELLECTUAL PROPERTY

12.1 Our Intellectual Property

This Website, including all content, features, and functionalities including but not limited to, text, graphics, logos, icons, images, audio elements, and software is the property of Experience Tours and Events Services W.L.L, its licensors, or third-party content providers. It is protected under the applicable intellectual property laws of the State of Qatar, including but not limited to Law No. 7 of 2002 on the Protection of Copyright and Related Rights and Law No. 9 of 2002 on Trademarks, Trade Indications, Trade Names, Geographical Indications, and Industrial Designs. Any unauthorized use, reproduction, or distribution of such content may constitute a violation of these laws. All rights not expressly granted herein are reserved.

12.2 Your License

We grant you a limited, non-exclusive, non-transferable, revocable license to access and use our Website for your personal, non-commercial use.

12.3 Restrictions

You must not:

  • Modify, copy, distribute, transmit, display, perform, reproduce, publish, license, create derivative works from, transfer, or sell any information or content obtained from our Website, except where expressly permitted through prior written agreement with Experience Tours and Event Services W.L.L.
  • Use any content from our Website for commercial purposes without obtaining a license from us, our licensors or unless expressly permitted by a valid, written agreement with Experience Tours and Event Services W.L.L Unauthorized use constitutes a breach of these Terms and may result in legal action.

These Terms are governed by and construed in accordance with the laws of the State of Qatar.

15.3 Dispute Resolution

Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of the State of Qatar.

  1. SEVERABILITY

If any provision of these Terms is held to be invalid or unenforceable, such provision shall be struck out and the remaining provisions shall remain in full force and effect.

  1. ENTIRE AGREEMENT

These Terms constitute the entire agreement between you and us relating to your use of our Website and Services and supersede all prior agreements and understandings.

  1. THIRD-PARTY RIGHTS

No third party shall have any rights to enforce any terms contained herein.

  1. LANGUAGE SUPPORT

We aim to provide services in English and Arabic. Clients requiring additional language assistance should request this in advance, subject to availability.
